The Logistics Coordinator - Project Site Operations provides the operational link between project teams, contractors, service providers, accommodation facilities, transportation resources, and regional sites. The position ensures people, assets, vehicles, equipment, and support services are available where required while maintaining accurate records and compliance with project procedures. Working within a fast-paced CPMO environment, the coordinator helps prevent delays caused by missing assets, restricted site access, transportation gaps, accommodation shortages, or poorly controlled resources. Strong organization and accountability are essential because effective logistics directly influence project productivity, workforce mobility, and operational continuity.
Key Responsibilities
- Coordinate day-to-day logistics activities supporting multiple construction and infrastructure project locations.
- Maintain accurate records of project assets, equipment, vehicles, accommodation, transportation, and assigned resources.
- Track the location, condition, allocation, and movement of project equipment and operational assets.
- Maintain asset registers and update records whenever equipment is issued, transferred, returned, replaced, or removed from service.
- Coordinate transportation arrangements for employees, project teams, visitors, and authorized personnel.
- Support planning of daily and scheduled movement between offices, accommodation facilities, project sites, and operational locations.
- Monitor transportation requirements and identify gaps that could affect workforce mobility or project activities.
- Coordinate allocation and utilization of PMC vehicles across project teams.
- Maintain vehicle assignment records, availability schedules, usage information, and supporting documentation.
- Support fleet management activities including vehicle requests, transfers, returns, maintenance coordination, and replacement requirements.
- Coordinate accommodation allocation for project personnel according to approved requirements and availability.
- Maintain accommodation records and monitor occupancy, arrivals, departures, and changes in allocation.
- Work with project and administration teams to resolve accommodation-related operational issues.
- Coordinate site access requirements for employees, contractors, visitors, vehicles, and equipment.
- Maintain records of access applications, approvals, passes, and related documentation.
- Follow up on pending site access requests to reduce delays to mobilisation and construction activities.
- Coordinate with security teams regarding access requirements and localized project protocols.
- Support mobilisation and demobilisation activities by coordinating transportation, accommodation, access, assets, and required logistics resources.
- Liaise with contractors, internal departments, and service providers to confirm logistics requirements and delivery schedules.
- Monitor logistics service performance and accelerate recurring delays or deficiencies.
- Track equipment and resource availability against upcoming project needs.
- Support effective allocation of limited resources across competing project priorities.
- Maintain visibility of high-demand assets and identify potential shortages in advance.
- Coordinate movement of equipment and materials between project locations where required.
- Ensure logistics activities follow project procedures, approval routes, and control requirements.
- Maintain documentation supporting asset accountability, transportation, accommodation, access, and fleet management.
- Prepare logistics trackers, status reports, resource summaries, and operational updates for management review.
- Reconcile asset and vehicle records to ensure physical allocations correspond with recorded information.
- Support periodic inventory checks and asset verification exercises.
- Identify discrepancies in logistics records and coordinate corrective action with responsible teams.
- Maintain communication with regional project teams regarding changing logistics requirements.
- Assist project teams with urgent operational requests while ensuring proper authorization and documentation.
- Coordinate with procurement and service providers for logistics-related support where required.
- Support compliance with applicable KSA transportation, customs, access, and logistics requirements.
- Maintain awareness of local site conditions and access restrictions that could affect project logistics.
- Contribute to improvements in logistics processes, resource tracking, and operational reporting.
Ideal Profile
- Degree in Engineering, Business Administration, or a related field.
- Minimum 5 years of progressive experience in logistics coordination, asset management, fleet support, or site logistics.
- Background within major construction, infrastructure, PMC, or comparable project environments.
- Strong practical understanding of project logistics and resource coordination.
- Experience maintaining asset inventories and equipment tracking systems.
- Knowledge of fleet and vehicle management within distributed project environments.
- Experience coordinating accommodation and transportation for project personnel.
- Familiarity with site access procedures and workforce mobilisation requirements.
- Understanding of end-to-end supply chain and logistics processes.
- Knowledge of KSA logistics regulations and transportation procedures is advantageous.
- Familiarity with customs requirements and local movement procedures is beneficial.
- Understanding of localized security and project site access requirements within Saudi Arabia.
