Boston Oncology Arabia seeks a Logistics & EXIM Executive to run daily logistics and customs operations, including shipment booking, documentation, CHA / CHS and LSP coordination, tracking and customer delivery updates—supporting the Logistics & EXIM Manager. The role ensures shipments remain compliant and visible, including cold chain for oncology patients.

Qualifications

• 2–4 years experience in logistics / EXIM operations; pharma or cold chain exposure a plus.
• Domain: India–KSA import/export documents and Incoterms; CHAs and LSPs.
• Good Excel and ERP skills; organised and accurate under time pressure.

Responsibilities

• Shipment booking: plan and book inbound/outbound shipments with LSPs against orders and plans.
• Documentation: prepare and check invoices, packing lists, AWB/BL, HS codes for KSA and India.
• Clearance follow-up: coordinate with CHAs / CHS and customs until release; chase issues the same day.
• Tracking & cold chain: track end-to-end, flag delays and monitor temperature-controlled consignments.
• Customer coordination: share delivery updates and resolve queries; escalate when needed.
• Invoice & cost checks: verify LSP/CHA invoices against rates; support savings tracking.
• MIS & ERP: maintain trackers and ERP entries; prepare weekly OTIF, transit and cost reports.

Reports to: Logistics & EXIM Manager

Scope: Inbound, Outbound & Customs

Experience: 24 years

ROLE PURPOSE

Run the daily logistics and customs operations – shipment booking, documentation, CHA / CHS and LSP coordination, tracking and customer delivery updates – supporting the Logistics & EXIM Manager. The role keeps shipments moving, compliant and visible, including cold chain products, for oncology patients.

3 MANDATES / KPIS FOR THE ROLE

MANDATE 1

Shipment Execution

Book, track and deliver shipments on time and in full, with proactive updates to customers.

Dispatches booked per plan

Customer OTIF tracked (target 95%)

Cold chain shipments monitored end to end

MANDATE 2

Documentation & Clearance

Get documents right first time so clearance is fast and penalty-free.

Documents accurate on first submission

Clearance follow-up until release

Zero demurrage / penalty from our delays

MANDATE 3

Cost & Visibility

Keep costs checked and every shipment visible through clean trackers and MIS.

LSP / CHA invoices checked vs. rates

Shipment tracker updated daily

Weekly service & cost report issued

KEY RESPONSIBILITIES

• Shipment booking: plan and book inbound and outbound shipments with LSPs against orders and supply plans.

• Customer coordination: share delivery updates, collect proof of delivery and resolve queries; escal ate when needed.
• Invoice & cost checks: verify LSP / CHA invoices against agreed rates and support savings tracking.
• MIS & ERP: maintain trackers and ERP entries; prepare weekly OTIF, transit and cost reports.

CANDIDATE PROFILE

• Experience: 2–4 years in logistics / EXIM operations; pharma or cold chain exposure a plus.
• Education: Graduate, preferably commerce or supply chain; MBA not required.
• Domain: working knowledge of India–KSA import / export documents and Incoterms; exposure to CHAs and LSPs.
• Technical: good Excel and ERP skills.
• Mindset: organised, accurate and quick to follow up under time pressure.
