The Logistics Executive is responsible for providing operational and administrative support to the Stores and Brand teams while ensuring smooth coordination with logistics, finance, inventory, accounts, marketing, legal, and other departments. The role involves freight documentation, shipment coordination, invoice verification, stock reporting, store support, and logistics-related administrative activities.
Key Responsibilities
- Verify freight invoices against approved quotations and check customs duty calculations against shipment values.
- Maintain and update master files for freight, duty payments, shipments, and other logistics-related information.
- Consolidate invoices, HS Code summaries, Delivery Advice (DA), Certificates of Origin (CO), and other required shipping documents.
- Coordinate and book shipments through approved logistics vendors while obtaining the best available freight rates.
- Maintain overseas shipment records and coordinate customs clearance, shipment status, and delivery schedules.
- Collect Delivery Orders (DOs) from shipping lines and freight forwarding companies within the required timelines.
- Coordinate the collection of required certificates and documentation from the Chamber of Commerce.
- Support stores with stationery, IT, and other operational requirements during store openings, closures, and related activities.
- Coordinate with the Club Apparel team regarding customer data and work with the Marketing team on required graphic design and promotional support.
- Prepare and review stock variance reports whenever required by the management or relevant departments.
- Follow up with the Legal Department regarding Trade License documentation and renewals.
- Collect daily purchase reports from stores and maintain accurate records.
- Collect master data from the data entry team and compile operational and management reports as required.
- Coordinate with the Accounts and Finance departments regarding voucher processing and payments to principals.
- Handover GCC-related stock and shipment documentation to the Logistics Department.
- Coordinate with the Inventory Control team to resolve stock discrepancies and other inventory-related issues.
- Prepare MIS reports and other logistics-related reports as requested by management.
- Prepare regular store visit reports and submit them to the relevant supervisors or managers.
- Maintain accurate logistics records and ensure all documentation is completed according to company procedures.
- Coordinate with internal departments and external logistics partners to support timely shipment and store operations.
- Ensure assigned logistics and administrative activities are completed accurately and within established timelines.
