Responsibilities

• Create import purchase orders per trade agreements and policy; ensure proper approvals.
• Communicate the purchase orders to the import suppliers and confirm receipt of PO.
• Provide suppliers with all requirements and standards to follow to ship the goods.
• Obtain weekly updates on import shipments status from suppliers.
• Track shipments and update the import matrix with PO status daily.
• Communicate import matrix and all PO statuses to concerned departments/buyers weekly.
• Obtain original shipping documents from suppliers before shipment arrival.
• Ensure shipping documents comply with Saudi customs requirements.
• Submit shipping documents to the customs broker for clearance.
• Inform warehouse of related orders and shipping documents before shipment arrival.
• Set landed cost at PO level and ensure accuracy per shipment trade agreements and forecasts.
• Follow up with warehouses on receiving status and inform concerned department of system updates.
• Obtain short and damage reports within 48 hours of receiving and communicate to supplier.
• Obtain suppliers' statements of accounts before due date and follow up payments with accounts.
• Communicate payment transfers to suppliers with all payment details.
• Provide monthly analysis and service level reports for all import suppliers and shipments.
