You will confirm and adjust appointments, manage inquiries, maintain data accuracy, monitor waiting lists, and support multi-visit procedures while upholding confidentiality and center policies.
Job Purpose:
Organize and manage dental clinic appointments and coordinate between patients, doctors, and the medical team, ensuring optimal use of doctors’ schedules, improving the patient experience, and ensuring smooth workflow.
Duties and Responsibilities:
Book, confirm, modify, and cancel patients’ appointments according to doctors’ schedules.
Coordinate appointments in line with the type of procedure, treatment duration, and required specialty.
Contact patients to confirm appointments, remind them, and follow up on missed appointments.
Receive patients’ inquiries related to appointments and dental clinic services.
Coordinate between patients, doctors, nursing staff, and reception staff.
Organize doctors’ schedules and monitor any changes or emergency cases related to appointments.
Follow up on patients’ treatment plans and upcoming appointments and encourage them to complete their sessions.
Coordinate appointments for procedures and treatments that require more than one visit.
Update patients’ and appointment data in the approved system and ensure its accuracy.
Monitor the waiting lists and make effective use of available appointment slots.
Coordinate with patients in case the doctor’s appointment changes or any delays occur.
Monitor patient satisfaction, address feedback related to appointments, or refer it to the relevant department.
Maintain the confidentiality of patients’ data and comply with the center’s policies.
Prepare simple reports on appointments, attendance, cancellations, and no-shows when needed.
Comply with the medical center’s policies and procedures and patient service standards.
Qualifications and Requirements:
High school diploma or higher, preferably with a specialization in health administration or business administration.
Previous experience in appointment coordination or reception is preferred, preferably in dental clinics.
Excellent communication and patient service skills.
Proficiency in using computers and appointment management systems.
High ability in organization, time management, and follow-up.
Ability to handle work pressure and multiple appointments.
Tact, good interpersonal skills, and a professional appearance.
Preference: The candidate should be female.
