Job summary

Aon is seeking an HR Specialist to coordinate the end-to-end offer and pre-hire process, from offer acceptance through start date. The role involves managing global offer activity, documentation, and data integrity while partnering with Talent Acquisition, HR, and regional teams to ensure a smooth onboarding journey.

The position supports a hybrid work arrangement, combining virtual work with time in the Kraków location, in line with the smart working policy.

Qualifications

• Several years’ experience in HR, Talent Acquisition operations, onboarding, or a similar process-driven role
• Experience coordinating multi-region onboarding and offers, ensuring timely and compliant processes
• Experience with HR systems (ATS, HRIS, background screening platforms, digital signature tools) and Microsoft Office

Responsibilities

• Manage offer activity globally from acceptance through start date, ensuring steps and approvals are completed on time
• Prepare, review, and issue offer documentation, contracts, and addenda using templates and guidance
• Coordinate and track pre-hire activities such as background checks, work authorization, references, and market requirements
• Serve as a key point of contact for candidates post-offer, providing updates on pre-employment tasks
• Partner with Talent Acquisition, HR Business Partners, hiring managers, Compensation & Benefits, Payroll, and regional HR teams to confirm offer details
• Maintain accurate data across HR systems and ensure records are audit-ready
• Identify delays, data discrepancies, or gaps and resolve or escalate as needed
• Support process standardization and improvements for global offer management and onboarding
