Job summary

Aon is seeking a Global Offer Management Specialist on a late shift with Portuguese language support to turn accepted offers into smooth onboarding experiences. This hybrid role combines virtual work with time in the Kraków office depending on policy and business needs.

You will coordinate globally from offer acceptance to start date, prepare and issue documentation, track pre-hire steps, and partner with Talent Acquisition, HR Business Partners, and payroll to ensure readiness.

Qualifications

• Experience in HR, Talent Acquisition operations, onboarding, or recruiting coordination, ideally in a global or multinational environment.
• Proven ability to manage deadline-driven processes involving multiple collaborators, regions, or time zones.
• Experience with HR systems (ATS, HRIS, background screening and digital signature tools) and Microsoft Office; data accuracy and confidentiality.

Responsibilities

• Manage offer activity globally from acceptance through start date, ensuring all required steps and approvals are completed on time
• Prepare, review, and issue offer documentation, contracts, and addenda using approved templates and regional guidance
• Coordinate and track pre-hire activities such as background checks, work authorization, references, and other market-specific requirements
• Serve as a key point of contact for candidates post-offer, providing clear updates and guidance on pre-employment and onboarding tasks
• Partner with Talent Acquisition, HR Business Partners, hiring managers, Compensation & Benefits, Payroll, and regional HR teams to confirm offer details and pre-hire readiness
• Maintaining accurate data and documentation across HR systems (ATS, HRIS, background screening platforms, digital signature tools) and ensuring records are audit-ready
• Identifying routine delays, data discrepancies, or process gaps and resolving or escalating them as appropriate
• Supporting process standardization, documentation, and improvement initiatives related to global offer management and onboarding
