Job summary

Arche Consulting in Katowice seeks a proactive customer operations specialist to manage our B2B client portfolio from inquiry to payment, coordinating with the commercial network.

You will process orders in SAP, validate documents, and liaise with logistics, finance, and production teams across Europe, using German and English for correspondence.

This role offers professional development and exposure to international trade, with a strong focus on service quality and cross-border collaboration.

Qualifications

• Completed degree in business administration, international trade, or related discipline.
• Minimum 1 year in customer service, inside sales, order execution, or B2B operations in an international environment.
• Solid understanding of international trade mechanisms (INCOTERMS, cross-border payments, export docs).
• Proficiency in SAP and MS Office.

Responsibilities

• Manage designated customer portfolio with relationship care and data maintenance.
• Review inquiries and technical requirements with internal teams.
• Prepare, issue, and follow up on sales quotations.
• Validate POs against agreements, pricing, capacity, and lead times.
• Process orders end-to-end in SAP and verify confirmations.
• Plan and optimize dispatch with logistics hubs and DCs.
• Monitor order volumes vs production outputs; manage inventory allocations.
• Track delivery status through invoicing and documentation.
• Collaborate cross-border with EU facilities and regional offices.
• Support credit reviews, payment terms, and cash collection.
• Resolve pricing, rebate, and settlement discrepancies.
• Process customer claims, returns, and complaints with QA coordination.
• Prepare cost calculations, meeting packs, and sales forecasts.
• Maintain structured client files and master data; professional German/English correspondence.
• Occasional representation at trade shows or visits.
