Job summary

Pillar Health Solutions seeks an Executive Assistant & Operations Partner to build and optimize the company’s operational engine. You will partner with leadership to manage workflows linking physician partners, staff, patients, and external providers, driving practical solutions and measurable improvements.

This hands-on role requires process-building, SOP creation, and cross-team coordination in a growing healthcare business. Remote, full-time with flexible automation initiatives.

Qualifications

• 2+ years in operations, program management and client success.
• Own processes and outcomes, not only administrative tasks.
• Knowledge of patient scheduling and provider coordination.
• Identify root causes and independently implement solutions.
• Strong organizational, analytical, and problem-solving skills.
• Excellent written and spoken English.
• Strong communication with physicians, staff and leadership.
• Experience creating or improving SOPs, workflows, dashboards or systems.
• Attention to detail with patient data and billing.
• Ability to manage multiple priorities in a fast-moving environment.
• Comfort learning new tools independently.
• Practical experience with AI/automation.

Responsibilities

• Executive Support & Project Management: organize priorities, coordinate projects, manage follow-ups, ensure tasks and deadlines are met.
• Turn leadership discussions into clear action plans and track progress with stakeholders.
• Prepare meeting summaries, presentations, reports to support leadership decisions.
• Business Operations & Process Improvement: coordinate daily activities with practices, patients, providers and internal teams.
• Onboard practices, schedule patients, coordinate providers, document and manage workflows.
• Identify inefficiencies, resolve issues, create or improve SOPs and templates.
• Reporting, Technology & AI Automation: maintain dashboards and performance reports; analyze data for insights.
• Provide leadership with actionable recommendations and automate repetitive tasks.
• Leverage AI/tools to streamline reporting and increase efficiency.
