Job summary

Pillar Health Solutions seeks an Executive Assistant & Operations Partner to build and run the operational engine of the health platform. This hands-on role collaborates with leadership to connect physician partners, staff, patients, and internal teams, driving automation and SOPs.

You will own workflows, improve scheduling and onboarding, and deliver actionable reporting to leadership. Strong English, proactive problem solving, and a bias for practical solutions are essential.

Qualifications

• 2+ years of experience in operations, program management and client success.
• Experience owning processes and outcomes rather than only completing tasks.
• Strong understanding of patient scheduling, provider coordination, and healthcare workflows.
• Ability to identify root causes and independently implement solutions.
• Strong organizational, analytical, and problem-solving skills.
• Excellent written and spoken English.
• Strong communication with physicians, staff, and leadership.
• Experience creating or improving SOPs, workflows, dashboards, trackers, or systems.
• Attention to detail with patient data, billing and operational data.
• Ability to manage multiple priorities in a fast-moving environment.
• Willingness to learn new tools/processes independently.
• Experience using AI/automation to improve processes.

Responsibilities

• Organize priorities, coordinate projects, manage follow-ups with leadership.
• Turn discussions into actionable plans, coordinating with stakeholders.
• Prepare summaries, presentations, and reports to support decision-making.
• Coordinate daily operational activities among practices, patients, providers and internal teams.
• Support onboarding, scheduling, coordination, documentation and workflows.
• Identify inefficiencies, resolve issues, and improve SOPs and templates.
• Maintain spreadsheets, dashboards, trackers, and performance reports.
• Analyze data and provide actionable insights and recommendations.
• Leverage AI, automation, and digital platforms to streamline tasks and reporting.
