Job summary

Pillar Health Solutions is seeking an Operations Lead to build and optimize the operational engine behind our wellness platform. This hands-on, remote role partners with leadership and coordinates workflows across physician practices, staff, patients, and clinical teams.

You will own onboarding, patient and provider operations, documentation and billing flows, plus develop SOPs and dashboards. The role emphasizes automation, KPI tracking, and scalable processes as the company grows.

Qualifications

• 2+ years in healthcare operations or program management.
• Experience owning processes and outcomes.
• Strong understanding of patient scheduling and provider coordination.
• Ability to investigate root causes and implement solutions.
• Excellent written and spoken English.
• Experience building SOPs, dashboards, or operational systems.
• Comfort with learning new tools and autonomous work.

Responsibilities

• Own onboarding from agreement to launch, including referral, scheduling, documentation, and billing workflows.
• Serve as operational contact for physician partners and staff, addressing requests and follow-ups.
• Oversee patient journey from referral to appointment and ongoing engagement.
• Monitor cancellations, no-shows, delays; implement workflows to improve conversion.
• Coordinate with dietitians, exercise professionals, and support staff for capacity.
• Monitor scheduling, documentation, and revenue-related workflows.
• Map workflows and build SOPs, trackers, dashboards, and templates.
• Track KPIs across referrals, scheduling, engagement, utilization, and revenue.
• Evaluate technologies to simplify operations and apply AI for reporting and automation.
• Partner with leadership to translate priorities into actionable plans.
