Pillar Health Solutions is seeking an Operations Lead in a remote, full-time role. You will build and continuously improve the operational engine behind Pillar’s services, working across patient scheduling, onboarding, and revenue workflows.

This hands-on role requires comfort with evolving processes in a growing healthcare business. You will own cross-functional workflows connecting physician partners, practice staff, patients, dietitians, and support teams.

Qualifications

• 2+ years of experience in healthcare operations or a closely related field.
• Experience owning processes and outcomes rather than only completing administrative tasks.
• Strong understanding of patient scheduling, provider coordination, documentation, and healthcare administrative workflows.
• Demonstrated ability to identify operational problems, investigate root causes, and independently implement solutions.
• Excellent written and spoken English.
• Experience creating or improving SOPs, dashboards, trackers, or operational systems.
• Strong attention to detail with patient information, documentation, and billing data.

Responsabilités

• Own new practice onboarding from agreement through launch, including referral, scheduling, communication, documentation, and billing workflows.
• Serve as a key operational point of contact for physician partners and practice staff, addressing requests and follow-ups promptly.
• Oversee the patient journey from referral through outreach, scheduling, first appointment, and ongoing engagement.
• Coordinate with dietitians, exercise professionals, and support staff for capacity and coverage.
• Monitor documentation and billing information flow between providers, Pillar, and partner practices.
• Map workflows, identify bottlenecks and redesign processes to improve speed, accuracy, and accountability.
• Build SOPs, trackers, dashboards, templates, and standardized workflows for recurring activities.
• Track core operational KPIs across referrals, scheduling, engagement, and provider utilization.
• Evaluate tools, implement AI/automation to improve reporting and workflow management.
• Partner with leadership to translate priorities into actionable plans with timelines and ownership.
