Job summary

V.Group is seeking a detail-orientedCrew Mobilisation Administrator to support seafarer onboarding and documentation. The role involves onsite visa processing, thorough verification of joining documents, and ensuring all required certifications and medical appointments are completed.

You will maintain ShipSure Crewing records, coordinate training enrollments, and assist the Crew Coordinator with regional coordination. A hybrid work arrangement is noted for some tasks and records handling.

Qualifications

• Bachelor’s degree in any field.
• Proficiency in word processing and spreadsheets.
• Excellent interpersonal skills and ability to interact at all levels.
• Keen attention to detail.
• Relevant experience in a similar role preferably in Subsea/Marine/Offshore Construction Industry.

Responsibilities

• Ensure timely processing of joining crew visas and related formalities onsite.
• Ensure that all pre-joining documents submitted by seafarers are physically received onsite, thoroughly reviewed, and verified for authenticity.
• Prepare approved seafarers for deployment by ensuring completion of all required certifications, courses, tests, and medical appointments.
• Maintain contact with personnel while on leave and during mobilization – hybrid.
• Coordinate with the Training Department to ensure all required training enrollments for approved seafarers are completed accurately and on time.
• Maintain accurate and up to date records in ShipSure Crewing and upload documents if required – hybrid.
• Process flag state document applications and maintain control procedures – hybrid.
• Provide administrative support to other Crew Cell members and assist the Crew Coordinator with regional coordination.
• Perform other tasks as assigned by the Crew Mobilisation Manager to support efficient operations and act as backup during absence.
