Job summary

YTO EXPRESS (PHILIPPINES) TECHNOLOGY GROUP CORPORATION is seeking a Fleet Supervisor to supervise and monitor all rented vehicles and fleet units assigned to the company. You will maintain a database of rental fleet details, ensure contracts, registrations, insurance, and permits are up to date, and oversee documentation related to fleet operations.

Qualifications

• Bachelor's degree in Logistics or related field.

• Experience coordinating with rental providers and branches.
• Proficient in Excel and fleet management systems.

Responsibilities

• Monitor vehicle availability, utilization, deployment, transfers, and returns.
• Coordinate with rental companies regarding reservations, replacements, extensions, renewals, and returns.
• Monitor expiration dates of rental contracts, vehicle registration, insurance, permits, and other documents.
• Coordinate with rental providers regarding maintenance, repairs, inspections, and breakdown assistance.
• Monitor downtime and coordinate replacements or repairs to minimize disruptions.
• Conduct or coordinate regular vehicle inspections for condition, safety, and cleanliness.
• Document vehicle condition before and after deployment and facilitate returns.
• Investigate and document vehicle damages, accidents, losses, and fleet incidents.
• Review and validate rental charges, fees, penalties, and repair costs.
• Prepare regular fleet reports on availability, utilization, maintenance, downtime, and expenses.

About the role

Supervise and monitor all rented vehicles and fleet units assigned to the company. Maintain an updated database of all rental fleet units, including vehicle details, rental agreements, assigned drivers, deployment locations, and rental periods. Ensure that all rental agreements, contracts, registration documents, insurance, permits, and other required documents are complete and updated.

Key responsibilities

• Monitor vehicle availability, utilization, deployment, transfers, and returns
• Coordinate with rental companies regarding vehicle reservations, replacements, extensions, renewals, and returns
• Monitor the expiration dates of rental contracts, vehicle registration, insurance, permits, and other fleet-related documents
• Coordinate with rental providers regarding preventive maintenance, repairs, inspections, and breakdown assistance
• Monitor vehicle downtime and coordinate immediate replacement or repair of unavailable units to minimize operational disruptions
• Conduct or coordinate regular vehicle inspections to check the condition, cleanliness, safety, and completeness of rented units
• Ensure proper issuance and return of rented vehicles, including documentation of vehicle condition before and after deployment
• Investigate and document vehicle damages, accidents, losses, and other fleet-related incidents
• Review and validate rental charges, additional fees, penalties, repair costs, and other billing-related concerns
• Prepare regular reports on fleet availability, utilization, maintenance, downtime, rental expenses, vehicle status, and other fleet-related matters

About you

• Bachelor's degree in Logistics, Supply Chain Management, Business Administration, Transportation Management, or a related field
• At least 2–3 years of experience in fleet management, logistics, transportation, vehicle rental, or related operations
• Experience in vehicle maintenance coordination, fleet documentation, and vehicle monitoring
• Knowledge of fleet operations, vehicle utilization, preventive maintenance, and transportation processes
• Familiarity with rental contracts, vehicle registration, insurance, and other fleet-related documents
• Proficient in Microsoft Office, particularly Excel, and fleet management or tracking systems
• Strong organizational, coordination, and problem-solving skills
• Good communication and negotiation skills
• Willing to conduct field visits and coordinate with branches, operations sites, rental providers, and other locations as needed
• Willing to work on a shifting schedule or extended hours when required by operations
