Colas Rail Philippines Inc. seeks a Fleet Coordinator to oversee day-to-day coordination, monitoring, and administration of company vehicles, drivers, and transportation services to ensure safe, efficient, compliant, and uninterrupted fleet operations.
The role supports vehicle dispatch, driver assignments, preventive maintenance, fuel and toll monitoring, documentation, incident reporting, and transportation needs across office, site, and project operations.
The Fleet Coordinator is responsible for the day-to-day coordination, monitoring, and administration of company vehicles, drivers, and transportation services to ensure safe, efficient, compliant, and uninterrupted fleet operations. The position supports the Fleet Management Officer in managing vehicle dispatch, driver assignments, preventive maintenance, fuel and toll monitoring, documentation, incident reporting, and transportation requirements across office, site, and project operations.
Includes but not limited to the following:
Coordinate vehicle dispatch and driver assignments.
Monitor driver schedules, attendance, and performance.
Monitor vehicle maintenance, availability, and documentation.
Track fuel, toll, mileage, and fleet expenses.
Coordinate vehicle repairs and preventive maintenance.
Prepare fleet reports and maintain accurate records.
Handle vehicle incidents, violations, and related documentation.
Ensure compliance with company fleet policies and safety requirements.
Coordinate with HR, Finance, Procurement, HSE, and project teams for fleet requirements.
Proficient in Microsoft Excel and Microsoft Office.
Knowledge of fleet management systems or vehicle tracking systems is an advantage.
Ability to prepare reports, trackers, and operational dashboards.
Basic understanding of vehicle maintenance and troubleshooting.
Knowledge of fuel consumption and fleet cost monitoring.
Strong organizational and coordination skills.
Good communication and interpersonal skills.
Strong attention to detail.
Ability to prioritize multiple vehicle and driver requests.
Problem-solving and decision-making skills.
Ability to work under pressure and handle urgent operational requirements.
Willingness to coordinate with drivers and project teams outside normal office activities when operationally required.
1-2 years of experience in fleet management, transportation, logistics, administration, or related fields.
Experience handling company vehicles and drivers is an advantage.
