Job summary

MicroSourcing seeks a Purchasing & Accounts Payable Specialist to join a remote, night-shift team in the Philippines. You will partner with the Purchasing Manager to ensure timely ordering, process invoices, and maintain ERP records with high accuracy.

The role emphasizes transactional processing, vendor communications, and daily purchasing activities, with growth opportunities in a collaborative, inclusive environment.

Qualifications

• Data entry experience with strong accuracy.
• Ability to perform repetitive transactional tasks efficiently and consistently.
• Familiarity with purchasing or accounts payable processes; training provided.
• Strong organizational and documentation skills.

Responsibilities

• Work with the Purchasing Manager to ensure materials are ordered on time.
• Prepare and process purchasing documentation and create purchase orders.
• Enter purchase order data into the ERP system.
• Send purchase orders to vendors and maintain documentation.
• Monitor purchases for timely delivery and follow up on outstanding orders.
• Receive and log incoming purchase orders and related documents from vendors.
• Review vendor quotations and support purchasing activities based on business requirements.
• Communicate with vendors regarding quotations, orders, delivery schedules, and purchasing concerns.
• Resolve purchasing discrepancies and issues with vendors and internal stakeholders.
• Process and verify incoming invoices for accuracy and completeness.
• Manage the shared inbox for invoices and communications.
• Enter invoice data into the ERP system following procedures.
• Maintain organized records for all purchasing and invoice transactions.
• Generate and receive purchase orders weekly with accurate records.
• Perform repetitive purchasing and AP tasks with high accuracy.
• Support the Purchasing Manager with daily purchasing and invoice workflows.
