Job summary

MicroSourcing is hiring a Customer Service Order Entry & Invoicing Specialist to work remotely in the Philippines on a night shift. You will handle email orders, enter data into our manufacturing platform, process invoices, and manage a shared inbox.

The role emphasizes accuracy, procedural compliance, and high-volume processing. Key tasks include data entry, report generation, and ensuring documentation integrity while supporting the order processing workflow.

Qualifications

• Data entry experience with a strong focus on accuracy and attention to detail.
• Ability to learn and consistently follow specific and repetitive processes.
• Comfortable working with specialized software platforms, with training provided.
• Strong organizational and documentation skills.
• Reliable, detail-oriented, and consistent work ethic.
• Ability to follow established procedures and workflows accurately.
• Willingness to undergo training through shadowing, guided instruction, and video tutorials.
• Strong transactional processing mindset; deep accounting knowledge is not required.
• Experience with system/data entry and handling information across multiple platforms.
• Proficiency in MS Office Suite, particularly Excel and PDF-based documents.
• Comfortable using Teams/Chat and phone-based authentication as part of daily workflows.
• Ability to manage approximately 50-60 customer orders and 50-60 invoices per week.

Responsibilities

• Receive customer orders primarily through email and accurately enter order information into the company's specialized manufacturing platform.
• Process and print required reports from the system following established procedures.
• Perform invoice data entry and verify incoming invoice information for accuracy and completeness.
• Enter verified invoice data into the system while ensuring compliance with established processes and procedures.
• Manage a shared inbox for customer orders, invoices, and related communications.
• Respond to customer queries primarily through email and provide accurate information or appropriate follow-up as needed.
• Support internal team members with the order processing workflow, including assisting with established processes and resolving routine order-related concerns.
• Maintain organized documentation and filing of processed orders, invoices, reports, and related records.
• Consistently follow established procedures when processing orders and invoices to maintain accuracy and data quality.
• Handle a high volume of transactional and repetitive tasks while maintaining attention to detail and meeting expected processing requirements.
• Learn and effectively use company-specific systems through training, shadowing, and video tutorials.
