Job summary

Pillar Health Solutions is seeking an Operations Lead to build and run the operational engine behind our wellness programs for physician practices, with a hands-on approach in a growing healthcare business.

You will own onboarding, patient and provider workflows, documentation and billing, and drive process improvements, SOPs, dashboards, and AI-enabled automation to scale operations. You will collaborate with leadership to define owners, timelines, and measurable outcomes.

Qualifications

• 2+ years healthcare operations, medical practice operations, program management, client success, healthcare administration, or related field.
• Experience owning processes and outcomes, not just administrative tasks.
• Strong understanding of patient scheduling, provider coordination, documentation, healthcare workflows, and service operations.
• Ability to identify operational problems, investigate root causes, and implement solutions.
• Strong organizational, analytical, and problem-solving skills.
• Excellent written and spoken English.
• Strong communication with physicians, practice staff, healthcare professionals, patients, and leadership.
• Experience creating or improving SOPs, workflows, dashboards, trackers, or operational systems.
• Attention to detail with patient data, documentation, billing information, and operations data.
• Ability to manage multiple priorities in a fast-moving environment.
• Comfortable learning unfamiliar tools independently.
• Experience using AI/automation to improve business processes.

Responsibilities

• Own onboarding from agreement through launch, including referral, scheduling, communication, documentation, and billing workflows.
• Serve as operational contact for physician partners and practice staff, handling requests promptly.
• Oversee patient journey from referral to scheduling and ongoing engagement.
• Monitor cancellations, no-shows, delays, and drop-offs; implement workflows to improve conversion and retention.
• Coordinate with dietitians, exercise professionals, and support staff for capacity and coverage.
• Monitor scheduling, patient assignments, documentation expectations, and responsiveness.
• Track documentation and billing flow; investigate issues delaying billing or revenue.
• Map workflows, identify bottlenecks, redesign processes, and build SOPs, dashboards, and templates.
