Job summary

Go Lean Health is seeking an organized, proactive Executive Virtual Assistant to partner remotely on customer experience and business operations. The role supports a founder or busy team, including handling communications, follow-ups, bookings, and community outreach from a US-based perspective.

You will manage inquiries, maintain accurate notes, and drive tasks forward with initiative. This is a hands-on, customer-facing position involving phone and email support, with overnight Manila hours

Qualifications

• Strong spoken and written English for professional calls, emails, follow-ups, and internal updates.
• Experience as an Executive Virtual Assistant, Executive Assistant, Administrative VA, Operations VA, Customer Support VA, or in a similar coordination role.

Responsibilities

• Serve as a reliable point of contact by answering and returning customer calls, emails, voicemails, and online inquiries promptly and professionally.
• Assist customers with questions about parties, memberships, admissions, schedules, policies, pricing, and availability.
• Track inquiries and follow-ups, converting interest into bookings when possible.
• Keep customer notes and communications organized across channels and teams.
• Identify complaints or concerns requiring management attention and escalate appropriately.
• Organize CRM contacts, opportunities, notes, pipeline stages, and follow-up dates.
• Follow up on leads until booked, completed, or closed.
• Research and outreach to schools, PTOs, daycares, preschools, groups, and partners.
• Support opportunities such as group visits, field trips, fundraisers, events, and partnerships.
• Provide concise updates on outreach, open opportunities, and next actions.
• Coordinate email campaigns, promotions, and basic campaign tracking.
• Maintain marketing content calendar and schedule social posts; assist with graphics and promotions.
• Support scheduling, recruiting coordination, onboarding, and communications with vendors and partners.
• Keep trackers, files, templates, and SOPs organized and up to date.
• Assist with ordering, inventory, payroll, reporting, or website updates as assigned.
