Job summary

Qualifications

• Excellent spoken English with a clear, neutral accent.
• Strong written communication for SMS, email, and patient messages.
• Prior experience in Virtual Medical Assistant or reception roles.
• Comfortable with high call volume in a fast-paced clinic.
• Strong patient service mindset, emotional intelligence, and common sense.
• Able to multitask across calls, texts, emails, voicemails, faxes, and scheduling.
• Reliable, punctual, and proactive with attendance communication.
• Must own a Mac OS device and have reliable high-speed LAN.
• Flexible with schedule and willing to work Saturdays.
• Familiarity with HIPAA privacy practices.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to patient texts, voicemails, emails, and fax messages timely.
• Schedule new patient appointments; manage intake information and MacPractice scheduling.
• Prioritize new inquiries and referral opportunities before routine rescheduling.
• Conduct follow-up and reactivation outreach to inactive patients.
• Maintain accurate patient records and scheduling notes.
• Coordinate with in-office staff to keep provider schedule full.
• De-escalate scheduling, billing, or insurance concerns with empathy.
• Know when to listen, gather details, and offer callbacks.
• Support missed-call follow-up workflows and HIPAA-compliant communications.
