Qualifications

• Strong written communication for SMS, email, and messages.
• Experience in healthcare support roles (Virtual Medical Assistant/Medical Receptionist/Front Desk Coordinator).
• Comfortable handling high call volume in a fast-paced clinic.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to texts, voicemails, emails, and fax-related messages in a timely manner.
• Schedule new patient appointments and manage intake; use MacPractice for scheduling.
• Prioritize new inquiries before routine rescheduling.
• Conduct follow-up and reactivation outreach to convert inquiries to bookings.
• Maintain accurate patient records and scheduling notes.
• Coordinate with in-office staff to keep the provider schedule full.
• De-escalate scheduling, billing, insurance concerns with empathy.
• Follow HIPAA privacy standards at all times.
• Support missed-call follow-up workflows in Weave.
