The ideal candidate will manage high call volumes, schedule appointments in MacPractice, and maintain accurate records while ensuring HIPAA compliance and data security. This part-time role requires Saturday availability.

Qualifications

• Excellent spoken English with a clear, neutral accent.
• Strong written communication for SMS, email, and patient messages.
• Experience as Virtual Medical Assistant or similar healthcare role.
• Comfortable handling high call volume in a fast-paced clinic.
• Must own a Mac OS device and have reliable high-speed internet.
• Flexibility to work Saturdays and adjust shifts as needed.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to texts, voicemails, emails, and fax-related messages timely.
• Schedule new patient appointments and manage intake information.
• Coordinate with staff to keep provider schedule full and organized.
• De-escalate scheduling, billing, and insurance concerns with empathy.
• Maintain accurate patient records and communication notes.
• Support missed-call follow-up workflows and improve communications inside Weave.
• Protect patient privacy and follow HIPAA standards at all times.
