Job summary

LEXUS MANILA, INC. in Taguig is seeking a diligent customer service admin to manage service reminders and appointment coordination.

You will use the company system to list customers due for service, prepare new-customer reminders, and verify vehicle history details. You will remind clients about periodic maintenance, promote offers, and schedule appointments, updating records and following up to ensure attendance.

Qualifications

• Graduate of a business course or equivalent.
• 1–2 years’ work experience in reputable companies or automotive industry.
• Excellent communication and interpersonal skills.
• Proficient in MS Office; knowledge of SAP.
• Willing to work in BGC Taguig.

Responsibilities

• Arrange lists of customers due for service reminders after 7 days using the company’s information system.
• Prepare lists of new customers due for first service from last week’s sales list in the showroom’s delivery section.
• Refer to history files and confirm vehicle details.
• Remind customers about periodic maintenance and promote offers; arrange appointments.
• Estimate due service mileage manually if different from system; place follow-up cards and recall calls.
• Invite customers for appointments when due, create appointment sheets, fill required records, and update control board.
• Confirm the appointment one day before (second call); arrange a new appointment if canceled.
• Report irregularities to supervisor and update customer data daily.

RESPONSIBILITIES

• Arrange list of customers to be reminded who are due for service after 7 days using company’s information system.
• Arrange list of new customers due for first service using the new sales list of last week from the delivery section of new car sales showroom.
• Refer to history file & confirm vehicle details.
• Remind the customer about periodic maintenance of his vehicle; promote any comprehensive offer and arrange appointment with the customer.
• Estimate the due service manually if the mileage is different than the estimated mileage from the system, insert the follow up card in the estimated day slot in the visual control board to recall the first call
• Invite customers for appointment when the vehicle is due for service, create appointment sheet, fill the magnetic chip and keep them at the proper place on the control board
• Confirm the appointment one day before (Second call) arrange new appointment if customer cancels the appointment.
• Report to supervisor any irregularity and the list of customers to whom we cannot successfully contact even after three trials update any incorrect customer’s data promptly on daily basis

REQUIREMENTS

• Graduate of a business course or any equivalent
• With at least a year or two years’ work experience gained from reputable companies or automotive industry
• Good communication and interpersonal skills
• Proficient in using MS Office. Knowledgeable in SAP
