Logistics Coordinator (Track & Trace)

Are you a proactive communicator who thrives in a fast-paced environment? We are looking for a Logistics Coordinator to drive real-time freight visibility across our supply chain network. In this role, you’ll take full ownership of end-to-end load tracking, collaborate with dispatchers and planners to resolve bottlenecks, and ensure smooth, on-time deliveries.

What You Will Do
Load Tracking & System Management
- Real-Time Dashboards: Maintain and continuously update internal load dashboards with live transit data.
- Data Logging: Acknowledge partner notifications immediately and log detailed notes from carriers or drivers into the system.
- Milestone Tracking: Confirm pick-ups and deliveries, manage regular check calls, and secure accurate ETAs directly from drivers and dispatchers.
Documentation & Compliance
- Document Routing: Retrieve and forward Proof of Deliveries (PODs) and critical load files to relevant internal teams.
- Discrepancy Ownership: Resolve rate confirmation discrepancies and retrieve missing paperwork efficiently.
- Data Privacy: Handle sensitive company, carrier, and accounting documentation with strict confidentiality.
Escalation & Team Collaboration
- Issue Escalation: Flag and elevate transit delays or operational bottlenecks immediately to the supervisor or main Point of Contact (POC).
- Cross-Functional Support: Partner closely with logistics planners to fix route issues and assist with daily administrative tasks.
What Success Looks Like
Performance is evaluated weekly based on proactive tracking and high responsiveness:
- Call Volume: Achieve a minimum of 250 call-ins weekly to capture live load data.
- Status Updates: Complete a minimum of 150 stop status updates weekly across systems.
- Availability: Maintain high attentiveness and fast response times across all primary communication channels.
What We Are Looking For
- Technical Aptitude: Experience with computerized logistics software, fast data entry, and handling multi-program workflows.
- Industry Tools: Experience with McLeod TMS, Microsoft 365 (Excel/Outlook), MS Teams, or RingCentral Softphone is highly preferred.
- Core Competencies: Strong attention to detail, exceptional multitasking skills under pressure, and proactive problem-solving abilities.
- Communication: Excellent verbal and written English communication skills for seamless carrier, driver, and client interactions.
- Reliability: Proven track record of consistent attendance, punctuality, and professional commitment.
