Role OverviewThe Logistics Operations Specialist manages the full life cycle of US domestic ground shipments—from initial booking and dispatch to destination delivery, Proof of Delivery (POD) auditing, and final financial reconciliation. Acting as the operational hub, you will ensure total data parity across dual Transportation Management Systems (e2open TMF and Descartes Aljex), maintain real-time tracking, and prepare verified files for immediate billing.
Candidate Profile: What We Are Looking For
- Dual-TMS Proficiency: Hands-on experience navigating and reconciling data across e2open TMF and Descartes Aljex.
- Document & Financial Accuracy: Deep expertise in auditing Bills of Lading (BOL) and Proof of Delivery (POD) documents against physical load counts, capturing accessorial charges, and balancing cost/revenue across systems.
- Tracking & Telematics Knowledge: Familiarity with tracking platforms (MacroPoint, Tive) and dock scheduling tools (Open Dock) under strict cargo security protocols.
- Background & Experience: 1-3 years in freight operations, dispatch, or logistics coordination (US domestic ground freight modes: FTL, LTL, Intermodal). High school diploma required; Bachelor's degree in logistics or supply chain preferred.
Core Responsibilities
- Outbound & Dispatch Operations: Accept TMF bookings, create matching Aljex files, set up pickup appointments, issue warehouse pre-alerts, initialize tracking, and release departing trucks within 1 hour of loading.
- In-Transit Tracking & Inbound Coordination: Monitor shipment ETAs via MacroPoint and Tive, update operational milestones, issue destination warehouse pre-alerts, and resolve tracking or transit exceptions.
- Delivery Verification & POD Auditing: Confirm site arrivals, collect signed PODs, audit POD details against BOLs and system records, and record discrepancies (shortages, damages, or delivery refusals).
- Financial Reconciliation & File Closeout: Enter final carrier charges and accessorial fees (detention/layover), ensure exact cost/revenue alignment between TMF and Aljex, lock completed files, and transfer verified records to the billing team for invoicing.
- Exception & Escalation Handling: Flag "hot loads," resolve carrier or schedule delays, and elevate security, client-facing, or integration issues to management and safety teams.
