Job summary

  • Coordinate onboarding and offboarding processes and clearance.
  • Handle employee relations with confidentiality.
  • Prepare disciplinary documents such as NTE, NOD, and notices.
  • Monitor attendance, timekeeping, and payroll summaries.
  • Support training coordination and HR documentation.
  • Maintain HR masterlists, databases, and Job Descriptions.
  • File and safeguard employee records in both hard copy and electronic formats.
  • Provide HR reports and support to the HR Generalist.
  • Perform other HR and administrative duties as assigned.

Job Summary:

Provides administrative and operational support to the HR Department by

assisting in recruitment, onboarding and offboarding, employee relations,

disciplinary action, timekeeping, payroll preparation, training coordination,

documentation, and maintenance of HR records to ensure efficient HR operations.

Duties and Responsibilities:

  • Assist in the recruitment and hiring process, including applicant screening, interview scheduling, and coordination of pre-employment requirements.
  • Facilitate employee onboarding and offboarding, including orientation, documentation, and clearance processing.
  • Assist in handling employee relations concerns and maintain confidentiality of employee information.
  • Prepare HR documents related to disciplinary actions, including Notices to Explain (NTE), Notices of Decision (NOD), Notices of Hearing, memoranda, and other HR correspondences.
  • Monitor daily attendance, timekeeping, leave records, and prepare payroll summaries.
  • Assist in the implementation and coordination of employee training and development programs.
  • Create and update HR memoranda, notices, forms, and other official HR documents as required.
  • Maintain, update, and monitor HR masterlists, employee databases, and other HR monitoring files.
  • Create, update, and maintain Job Descriptions (JDs) for all positions in coordination with department heads.
  • File, organize, scan, and maintain employee 201 files and other HR documents in both hard copy and electronic format.
  • Ensure all employee records and HR documents are complete, accurate, updated, and kept confidential.
  • Prepare HR reports and provide administrative support to the HR Generalist/HR Supervisor.
  • Perform other HR and administrative duties as assigned.

Qualifications:

  • Bachelor's degree in Human Resource Management, Psychology, Business Administration, or any related field.
  • At least 1 year of experience in Human Resources or Administrative functions is preferred.
  • Knowledge of recruitment, onboarding, employee relations, disciplinary procedures, timekeeping, payroll preparation, and basic Philippine labor laws is an advantage.
  • Proficient in Microsoft Office applications, especially Excel, Word, and Outlook.
  • Strong organizational and documentation skills with keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Able to work independently and manage multiple tasks in a fast-paced environment.
