An Executive Assistant (EA) serves as a strategic partner to high-level executives (CEOs, C-Suite, Vice Presidents), handling operational, administrative, and strategic tasks to maximize executive productivity.
Calendar & Time Management: Complex calendar scheduling, resolving conflict overlaps, and prioritizing daily/weekly commitments across multiple time zones.
Executive Communication: Screening and drafting emails, answering phone calls, handling confidential inquiries, and serving as the primary gatekeeper for the executive.
Travel & Expense Management: Organizing end-to-end travel itineraries (flights, hotels, ground transport, visas) and managing expense reporting.
Meeting Preparation & Governance: Preparing agendas, briefing materials, slide decks, and background research ahead of meetings; recording action items and ensuring follow-through.
Project & Operations Support: Coordinating key projects, tracking departmental goals, liaising with key stakeholders, and managing vendor relationships.
Document & Record Management: Drafting memos, reports, and presentations while keeping digital files strictly organized and secure.
Proficiency in MS Office (Outlook, PowerPoint, Excel), Google Workspace, travel booking tools, expense software (e.g., Concur), and communication platforms (Slack, Teams).
Exceptional time management, multi-tasking under tight deadlines, and meticulous attention to detail.
Advanced verbal/written communication, emotional intelligence, and seamless stakeholder management.
High adaptability, strong decision-making, and proactive troubleshooting.
Absolute discretion when handling sensitive corporate, financial, or personal information.
Education: Bachelor’s degree preferred (Business Administration, Communications, or related field) or equivalent practical experience.
Experience: 3–5+ years supporting C-Suite or senior management professionals.
