Quality Choices Corporation is seeking an Executive Assistant to provide high-level administrative support to the executives. You will manage schedules, communications, and documents, and coordinate across departments.
Responsibilities include calendar management, meeting logistics, trip arrangements, and preparing reports and presentations. The ideal candidate has 2–3 years of related experience and strong Microsoft Office and Google Workspace skills.
Executive Assistant - is a professional who provides high-level administrative and organizational support to executives, managers, or company leaders. They help the executive manage their schedule, communication, meetings, documents, and other important business activities.
Key responsibilities
Manage the executive's appointments, meetings, deadlines, and daily schedule.
Schedule meetings, prepare agendas, arrange meeting rooms, and record minutes when needed.
Handle emails, phone calls, correspondence, and other communications on behalf of the executive.
Organize business trips, including flights, accommodations, transportation, and itineraries.
Prepare reports, presentations, letters, memos, and other business documents.
Safeguard confidential information, files, company records, and executive documents.
Provide day-to-day administrative assistance and ensure important tasks are completed on time.
Communicate and coordinate with different departments, clients, suppliers, and business partners.
Track assignments, follow up on pending matters, and remind the executive of important deadlines.
Assist the executive with special projects, business initiatives, and operational activities.
Job Requirements and Qualifications:
Bachelor's degree in Business Administration, Management, Office Administration, or a related field is preferred.
At least 2–3 years of experience as an Executive Assistant, Administrative Assistant, Secretary, or similar position.
Experience supporting senior executives or managers is an advantage.
Experience in handling confidential information and coordinating business activities.
Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
Familiarity with Google Workspace, scheduling systems, and video-conferencing platforms.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Highly detail-oriented and accurate.
Able to multitask and prioritize competing responsibilities.
