About the role
The Executive Assistant to the General Managers provides high-level administrative, organizational, and coordination support to the General Manager/s to ensure the efficient execution of day-to-day management activities and business priorities. The role serves as a key coordination point between the General Manager/s and various departments, subsidiaries, employees, clients, suppliers, and other stakeholders. The Executive Assistant is responsible for managing schedules, meetings, correspondence, reports, documents, follow-ups, and other executive requirements while maintaining a high level of confidentiality, professionalism, accuracy, and discretion.
Key responsibilities
- Provide day-to-day administrative and organizational support to the General Manager/s
- Manage and maintain the General Manager/s' calendars, schedules, appointments, and meetings
- Coordinate internal and external meetings, including preparation of schedules, venues, participants, and meeting materials
- Screen, organize, and coordinate incoming correspondence, emails, documents, and requests
- Prepare letters, memoranda, presentations, reports, minutes, and other documents as required
- Handle confidential and sensitive information with strict discretion
- Assist in coordinating travel arrangements, itineraries, accommodations, transportation, and other logistical requirements
- Coordinate meetings between the General Manager/s and department heads, employees, clients, suppliers, and other stakeholders
- Take accurate minutes and document key decisions, agreements, and action items
- Maintain an Action Items/Management Follow-Up Tracker and monitor the status of assigned deliverables
About you
- Bachelor's degree in Business Administration, Management, Office Administration, Communications, or a related field
- At least 2–3 years of experience as an Executive Assistant, Executive Secretary, Management Assistant, Administrative Assistant, or similar role
- Experience supporting senior executives, General Managers, Directors, or business owners is highly preferred
- Excellent proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint
- Strong document preparation, presentation, and report consolidation skills
- Good organizational and calendar management skills
- Ability to maintain accurate records, trackers, and filing systems
- Excellent written and verbal communication skills
- Highly organized, proactive, detail-oriented, and capable of handling multiple priorities with minimal supervision
