Job summary

vamasters, Inc. is seeking a Behavioral Health Scheduling Coordinator for a solo clinical psychology practice. You’ll manage the calendar, schedule veterans and applicants, and serve as the warm first point of contact for patients and referring doctors.

You’ll handle sensitive health information with confidentiality and professionalism. Responsibilities include daily coordination with military referrals, booking into calendar blocks, filling calendar gaps, and ensuring prompt follow-up.

Qualifications

• Proven experience scheduling in medical or behavioral health settings.
• Experience with practice management or EHR software (prefer SimplePractice).
• Experience checking insurance eligibility and benefits.
• HIPAA knowledge and handling confidential patient information.
• Comfort with two-factor authentication and data security.
• Excellent written and spoken English, professional and compassionate.

Responsibilities

• Coordinate daily scheduling with the military referral contact each morning.
• Book veterans and applicants into calendar blocks and manage gaps.
• Offer open slots to waiting patients to keep calendars full.
• Follow up with patients with no upcoming appointments.
• Prioritize military and cash-pay patients for preferred times.
• Check insurance eligibility and verify cards on file and balances.
• Monitor voicemails/texts and respond promptly to patients.
• Manage practice inbox and respond to emails from patients/doctors.
• Outreach to local clinicians to strengthen care coordination.
• Operate in SimplePractice while adhering to HIPAA and 2FA.
