Job summary

vamasters, Inc. is seeking a Behavioral Health Scheduling Coordinator to manage calendar bookings, patient communications, and coordination for veterans and applicants.

You will ensure HIPAA compliance and be the first friendly contact for patients and referring doctors. The role requires experience with medical scheduling, EHR systems (SimplePractice preferred), insurance verification, and strong English communication by phone and email.

Qualifications

• Proven experience in medical or behavioral health scheduling and patient communication.
• Hands-on experience with practice management or EHR software, with SimplePractice preferred.
• Experience verifying insurance eligibility and benefits.
• Strong understanding of HIPAA and handling confidential patient information.
• Comfortable with two-factor authentication and strict data security procedures.
• Excellent written and spoken English and a professional, empathetic manner by phone and email.
• Strong communication skills in fast-paced settings.
• Punctual, careful, and self-motivated.

Responsibilities

• Check in with the practice’s military referral contact every morning to coordinate veterans and applicants who need assessments.
• Book referred veterans and applicants into designated calendar blocks.
• Fill open spots by reaching out to patients with available appointments.
• Reconnect with patients who don’t have a future appointment scheduled.
• Offer preferred appointment times to military and cash-pay patients first.
• Verify insurance eligibility and confirm cards on file and any outstanding balances.
• Manage RingRx voicemails and texts and respond quickly to patients.
• Run the practice inbox and reply to emails from patients and doctors.
• Assist with outreach to local clinicians to build care coordination relationships.
• Work in SimplePractice under HIPAA protocols and two-factor authentication.
