Job summary

Winning Assistants, Inc. is seeking a Medical Virtual Assistant for Behavioral Health. This part-time role (20 hours/week) covers 9:00 AM–11:00 AM ET and 2:00 PM–4:00 PM ET, Monday to Friday, with flexible scheduling within the client’s hours.

The candidate will handle new patient inquiries, scheduling, paperwork follow-up, copay tasks, and general admin tasks, working remotely with HIPAA-compliant processes.

Qualifications

• Healthcare or Behavioral Health administrative experience required or highly preferred.
• TherapyNotes experience highly preferred.
• New patient intake scheduling experience required.
• Email inbox management experience required.
• Insurance/document coordination experience preferred.

Responsibilities

• Manage new patient inquiries, primarily through email.
• Coordinate intake scheduling and ensure timely responses.
• Track new patient communication and follow up on unresolved intake items.
• Maintain professional, warm, and clear communication with patients.
• Monitor and follow up on patient paperwork and documentation.
