Your Role
The Assistant Project Manager will support a variety of mechanical and plumbing installation projects from initial planning through final delivery. The role works cross‑functionally with operations, sales, subcontractors, and utilities to ensure timelines, budgets, and compliance requirements are met.
Responsibilities
- Project Administration: summarize and maintain job folders; manage time tracking and employee hours; maintain project spreadsheet; weeky scheduling and job assignments
- Finance & Procurement: process change orders and purchase orders; review and submit supplier invoices; track project invoicing status; assist procurement in purchasing equipment; track inventory and order replenishment stock
- Compliance & Documentation: assist with DOB and utility paperwork; file ConEd cases; schedule inspections; gather and maintain subcontractor compliance records, including certificates of insurance, scopes of work, contacts, and executed agreements
- Communication & Coordination: liaise between sales, subcontractors, suppliers, and accounting; use Slack, Asana, BuildOps, and other platforms to track updates
Qualifications
- 2 years’ experience as an executive assistant or similar position managing complex projects and schedules
- Preferred: experience working within a construction company, with hands‑on experience in assisting or managing construction projects
- Excellent time‑management skills with ability to multi‑task and prioritize work
- Strong verbal and written communication skills
- Computer skills: Microsoft Excel/Word, Google Apps, BuildOps, Slack, and/or Asana; strong experience desired
- Preferred: 4‑year degree in construction, engineering, mechanics, and/or project management
