Assistant Project Manager

Job Overview
The Assistant Project Manager will support a variety of mechanical and plumbing installation projects from initial planning through final delivery. The role works cross‑functionally with operations, sales, subcontractors, and utilities to ensure timelines, budgets, and compliance requirements are met.
Duties
- Project Administration: Summarize and maintain job folders, manage time tracking and employee hours, maintain project spreadsheets, and schedule weekly assignments.
- Finance & Procurement: Process change orders and purchase orders, review and submit supplier invoices, track invoicing status, assist procurement in purchasing equipment and subcontracted services, and track inventory and replenishment stock.
- Compliance & Documentation: Assist with DOB and utility paperwork, file ConEd cases, schedule inspections, submit rebate documentation, and maintain subcontractor compliance records including certificates of insurance, scope of work, contacts, and agreements.
- Communication & Coordination: Liaise between Sales, Subcontractors, Suppliers, and Accounting; use Slack, Asana, BuildOps and other platforms to track updates.
Required Experience
- At least 2 years of experience as an executive assistant or similar position managing complex projects and schedules.
- Preferred experience working within a construction company with hands‑on experience in assisting or managing construction projects.
- Excellent time‑management skills with the ability to multi‑task and prioritize work.
- Strong verbal and written communication skills.
- Computer skills including Microsoft Excel/Word and Google Apps; experience using BuildOps, Slack and/or Asana highly desired.
- Preferred: 4‑year degree in construction, engineering, mechanics, and/or project management.
