About the role
The Administrative Assistant is responsible for providing administrative, clerical, encoding, and office support to ensure the smooth and efficient operation of the company. The position handles document preparation and filing, data encoding, records management, monitoring, coordination, and other administrative tasks as assigned by Management.
Key responsibilities
- Perform day-to-day administrative and clerical tasks to support the company's office operations
- Encode, input, update, and maintain accurate data in company records, spreadsheets, databases, and other systems
- Prepare, organize, file, scan, photocopy, and maintain company documents and records
- Prepare letters, memoranda, reports, forms, monitoring sheets, and other office documents
- Maintain and organize both physical and electronic filing systems
- Encode and update employee, project, supplier, client, inventory, and other administrative records as required
- Prepare and maintain Excel spreadsheets, trackers, databases, and monitoring reports
- Receive, sort, distribute, and monitor incoming and outgoing documents, letters, and communications
- Answer and direct phone calls, emails, and other inquiries appropriately
- Coordinate meetings, appointments, schedules, deliveries, couriers, and other office activities
About you
- Graduate of a 4-year college course, preferably in Business Administration, Office Administration, Management, Accounting, or any related course
- At least 2–3 years of relevant experience in administrative, clerical, encoding, or office support work
- Proficient in Microsoft Office applications, particularly Microsoft Word and Excel
- Good typing and data-entry/encoding skills and strong attention to accuracy
- Experienced in document preparation, filing, records management, and maintaining spreadsheets and monitoring reports
- Good written and verbal communication skills
- Organized, detail-oriented, and able to manage multiple tasks efficiently
- Able to work independently and with minimal supervision
- Responsible, trustworthy, and able to maintain confidentiality
- Good interpersonal and coordination skills
