• Prepare detailed project proposals, quotations, and technical documentation based on client requirements and site specs.
• Monitor project timelines, budgets, and deliverables to ensure on-time and in-budget completion.
• Manage site coordination activities, including scheduling, resource allocation, and logistics for installation and execution.
• Conduct site inspections and quality checks to meet company standards and client expectations.
• Maintain project documentation including contracts, permits, drawings, and correspondence.
• Follow up with clients post-project to gather feedback and ensure satisfaction.
• Identify sales opportunities and support business development within assigned territory or client base.
• Prepare accurate reports and updates for management regarding project progress and sales pipeline.

About the role

We are seeking a Project Sales & Site Coordinator to join our team in Perai, Penang on a full-time basis. This is a key position that bridges the gap between our sales, project management, and on-site operations teams. You will play a crucial role in ensuring successful project delivery whilst maintaining strong client relationships and coordinating all site-related activities. This role is essential to our operational efficiency and client satisfaction, offering you the opportunity to make a significant impact on project outcomes and business growth.

Key responsibilities

Coordinate site visits, surveys, and assessments for potential signage projects to gather accurate specifications and project requirements

Liaise between clients, internal teams, and contractors to ensure clear communication throughout the project lifecycle

Prepare detailed project proposals, quotations, and technical documentation based on client requirements and site specifications

Monitor project timelines, budgets, and deliverables to ensure projects are completed on schedule and within budget

Manage site coordination activities, including scheduling, resource allocation, and logistics for installation and execution

Conduct site inspections and quality checks to ensure workmanship meets company standards and client expectations

Maintain comprehensive project documentation, including contracts, permits, drawings, and correspondence

Follow up with clients post-project to gather feedback and ensure satisfaction

Identify sales opportunities and support business development initiatives within assigned territory or client base

Prepare accurate reports and updates for management regarding project progress and sales pipeline

What we’re looking for

Proven experience in sales coordination, project coordination, or a similar role within the signage, construction, or service-based industry

Strong organizational and time management skills with the ability to manage multiple projects simultaneously

Excellent communication skills, both written and verbal, with the ability to liaise effectively with clients, contractors, and internal teams

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools

Knowledge of signage design, materials, and installation processes is advantageous

Ability to work independently and as part of a team in a fast-paced environment

Strong attention to detail and commitment to delivering high-quality work

Problem-solving mindset with the ability to address challenges proactively

Valid driving license and willingness to visit sites regularly

Diploma or Bachelor's degree in Business, Sales, Project Management, or a related field
