We are seeking an experienced Property Operations Coordinator with a background in short-term rental (Airbnb), property management, serviced apartments, or real estate operations.
This role is best suited for candidates who have previously coordinated multiple properties, worked closely with property owners, contractors, cleaners, and maintenance teams, and are familiar with fast-paced property operations.
If your experience is primarily in general customer service, administration, or virtual assistance without property operations exposure, this role is unlikely to be a suitable match.
Coordination & Communication Process Leadership
Liaise between owners, the online operations team, maintenance/cleaning teams, contractors, suppliers, and service partners to resolve issues promptly
Oversee, standardize, and improve communication workflows and processes across all stakeholders
Consolidate information, align updates, and participate in operational planning, weekly reviews, and performance tracking discussions
Ensure contractors comply with company standards and requirements, maintaining strong working relationships
Issue Escalation & Complex Case Handling
Handling complex, urgent, or high-impact communication issues involving owners, guests, contractors, or partners
Coordinate with relevant departments to resolve escalated matters and prevent recurrence
Serve as the decision-making point for disputes, service delays, or operational bottlenecks
Recommend improvements to communication flows, vendor performance, and service quality
Team Coordination & Operational Oversight
Support coordination of daily operational tasks across teams to ensure smooth execution
Provide guidance and direction to coordinators or team members when required
Monitor task progress, follow up on outstanding issues, and ensure timely completion
Assist in improving team efficiency and communication effectiveness
Performance & Continuous Improvement
Track common operational issues, response time, and resolution efficiency
Identify gaps in coordination and propose improvements to workflows and processes
Support implementation of operational standards and best practices
Minimum 4 years of experience in property management, short-term rental (Airbnb), serviced apartments, real estate operations, or a closely related industry.
Proven experience coordinating property owners, guests, contractors, cleaners, maintenance teams, and internal operations.
Strong understanding of day-to-day property operations, including booking management, guest communication, maintenance coordination, cleaning schedules, property readiness, and issue resolution.
Experience managing multiple properties simultaneously in a fast-paced operational environment.
Comfortable handling urgent operational issues, owner escalations, booking disruptions, and service recovery independently.
Excellent stakeholder management, communication, negotiation, and coordination skills.
Experience with STR or property management platforms such as Airbnb, Booking.com, OwnerRez, or similar systems is highly preferred.
Fluent in both English and Mandarin (spoken and written).
