Freight Forwarding Import Operations Executive - Remote & On-site

We are an Australian international freight forwarding company headquartered in Melbourne and are seeking an experienced Import Operations Executive based in Malaysia to support our Australian import operations.

This is a full-time, Malaysia-based remote position working closely with our Melbourne team and Australian customers.

Key Responsibilities

• Manage Australian import shipments from pre-alert through to final delivery.
• Handle sea freight FCL/LCL and air freight import shipments.
• Review shipping documents, including bills of lading, commercial invoices, packing lists, certificates of origin, health certificates, import permits and treatment documents.
• Coordinate with overseas agents, shipping lines, airlines, co-loaders, customs brokers, DAFF/biosecurity, warehouses and transport providers.
• Monitor customs and biosecurity clearance, inspections, treatments and cargo availability.
• Arrange deliveries and closely monitor detention, demurrage and storage risks.
• Provide proactive and accurate shipment updates to customers.
• Manage shipment issues and elevate urgent matters promptly.
• Complete invoicing, job costing, accruals and file closure in CargoWise.
• Maintain accurate operational records and ensure all files meet company compliance requirements.
• Provide quotation to potential client.

Requirements

• Minimum 2 years' hands-on freight forwarding operations experience. Candidates with 3+ years' experience will be highly regarded.
• Diploma/Degree preferred.
• Strong written and spoken English, Mandarin and/or Cantonese.
• Excellent attention to detail and ability to manage multiple shipments and deadlines.
• Strong communication skills - both Phone and Email.
• Strong customer service and problem-solving skills.
• Able to work independently in a remote environment while maintaining close communication with team members.
• Responsible and patient.
• Communicating and liaising with importers, exporters, cartage suppliers, shipping lines and overseas partners through Email, IM and Phone.

Working time is based on Australia East Time (Melbourne Time) Monday to Friday from 9am to 5:30pm (currently 2 hours behind).

Melbourne Public Holiday plus 15 days paid leave per year.
