Our client, a well-established quantity surveying (QS) consultancy, is seeking an Administration & Accounts Executive to join their team!
This is a great opportunity for an organised and detail-driven administration and accounts professional to build long-term career stability within an established quantity surveying (QS) consultancy. In this role, you will play a key part in keeping the business running smoothly, handling everything from HR and administrative support to accounts receivable, invoicing, and financial reporting, while working closely with the senior team and director.

What you'll be doing?
- Supporting administrative and HR functions — Assist across administrative, HR, and accounting tasks to keep daily operations running efficiently.
- Maintaining company records — Organise and maintain administrative records and documents to ensure accuracy and easy accessibility.
- Processing claims and payroll — Handle staff expense claims, travel claims, and monthly payroll administration in a timely and accurate manner.
- Managing accounts receivable — Monitor accounts receivable, track project billing schedules, and follow up on overdue client payments to support healthy cash flow.
- Preparing financial documents — Prepare invoices, fee proposals, and statements of claims with accuracy and attention to detail.
- Coordinating office operations — Manage and coordinate the day-to-day administrative operations of the office.
- Supporting financial reporting and audits — Liaise with the tax agent, assist in preparing monthly financial reports, and support year-end audit preparations.
- Taking on ad-hoc tasks — Perform other ad-hoc administrative tasks as assigned by the Senior or Director, contributing wherever needed.
Who are they looking for?
- Educational background — A Diploma in Administration, Accounting, or an equivalent qualification recognised in Malaysia provides a strong foundation for this role.
- Relevant experience — A minimum of two to three years of relevant experience is required; candidates with this background will be well-positioned to take on the role's responsibilities confidently.
- Communication skills — Good written and verbal communication skills in English and local languages are important, as these support clear liaison with clients, tax agents, and internal teams.
- Technical proficiency — Proficiency in MS Excel, MS Word, the UBS Accounting System, and email communication is expected to manage day-to-day tasks effectively.
- Adaptability — Flexibility and a willingness to handle a variety of tasks will help the successful candidate thrive in this dynamic role.
- Attention to detail and independence — Being detail-oriented, organised, and able to work independently with minimal supervision is key to success in this position.
- Availability — The ability to start on short notice will be considered an advantage.
