SmartHire by SEEK in Kuala Lumpur is seeking an Accounts & HR Executive to join our team. This role blends finance and people duties, ensuring accurate accounting records while supporting payroll, HR administration, and compliance.

You will manage AP/AR, month-end close, reporting, payroll processing, attendance, employment contracts, recruitment support, and staff lifecycle activities, interacting with auditors and government bodies as needed.

Qualifications

  • Educational background: Diploma or Degree in Accounting, Finance, Human Resource Management, Business Administration, or equivalent; LCCI qualifications or partial ACCA encouraged.
  • 2–5 years of relevant accounting and HR experience; retail industry a plus.
  • Payroll & statutory knowledge: EPF, SOCSO, EIS, and employment regulations.
  • Accounting software proficiency and Microsoft Office.
  • Full set of accounts experience and HR/payroll systems knowledge.
  • Strong communication, interpersonal, confidentiality, and multitasking skills.
  • Bilingual: English and Bahasa Malaysia.

Responsibilities

  • Daily accounting operations and accurate financial records; invoices, vouchers, and e-Invoicing.
  • AP/AR management, bank reconciliations, cash flow monitoring.
  • Month-end closing and financial reporting; management reports.
  • Payroll processing, attendance, leave, overtime, and payroll coordination.
  • HR documentation: contracts, letters, and employee files; recruitment support.
  • Staff lifecycle management: probation, renewals, resignations and exit clearance.
  • HR compliance and employee relations; liaising with auditors and authorities.
  • General administration and vendor coordination.

Our client is seeking an Accounts & HR Executive to join their team! Based in Kuala Lumpur, you will play a central role in keeping the company's accounting operations running smoothly while also supporting HR and administrative functions that keep the team thriving. What you’ll be doing?
  • Daily Accounting Operations — Handle day-to-day accounting tasks and maintain accurate financial records, including the preparation of invoices, payment vouchers, debit notes, credit notes, and e-Invoicing documentation.
  • Accounts Payable & Receivable Management — Monitor and manage AP and AR functions, perform bank reconciliations, and oversee cash flow monitoring to ensure the company's financial position remains healthy and up to date.
  • Financial Reporting & Month-End Closing — Prepare monthly management reports, manage month-end closing accounts, and ensure timely submission of financial reports in line with company requirements.
  • Payments & Reimbursements — Handle petty cash claims, staff reimbursements, and supplier payments with accuracy and proper documentation.
  • Compliance & Internal Controls — Ensure compliance with company financial procedures and internal controls, and liaise with auditors, tax agents, bankers, the company secretary, and relevant government authorities as needed.
  • Budgeting & Financial Analysis — Assist in budgeting, forecasting, and financial analysis to support management decision-making and business planning.
  • Inventory & Costing Support — Support inventory reconciliation, stock-related documentation, and the updating of costing sheets for products and SKUs where required.
  • Payroll & Attendance Management — Handle employee attendance, leave records, overtime tracking, and payroll coordination to ensure accurate and timely processing of employee compensation.
  • HR Documentation & Records — Prepare employment contracts, confirmation letters, transfer letters, warning letters, and other HR documents, while maintaining and updating employee files and the HR database.
  • Recruitment & Onboarding Support — Assist in the recruitment process including job postings, interview coordination, onboarding, and staff orientation to help new team members settle in smoothly.
  • Employee Lifecycle Management — Monitor staff probation, contract renewals, and confirmation processes, and handle staff resignation and exit clearance procedures in a professional and compliant manner.
  • HR Compliance & Employee Relations — Ensure compliance with company policies, labour laws, and HR procedures, and support disciplinary matters and employee relations issues as they arise.
  • Staff Development & Welfare — Coordinate staff training programmes, welfare activities, and internal communications to support a positive and engaged workplace culture.
  • General Administration — Handle office administration and general operational support, coordinate with vendors and service providers, manage office supplies and company assets, and assist in organising meetings and company events.
Who are they looking for?
  • Educational Background — A Diploma or Degree in Accounting, Finance, Human Resource Management, Business Administration, or an equivalent discipline is required; candidates with LCCI qualifications or partial ACCA completion are encouraged to apply.
  • Relevant Work Experience — A minimum of 2 to 5 years of relevant working experience in accounting and HR functions is expected, with experience in the retail industry being a valued advantage.
  • Payroll & Statutory Knowledge — Familiarity with payroll processing, statutory contributions such as EPF, SOCSO, and EIS, and employment regulations is important for success in this role.
  • Accounting Software Proficiency — Knowledge of accounting software and Microsoft Office applications will support efficient management of financial records and reporting.
  • Full Set Accounts Experience — Experience handling a full set of accounts is a preferred skill that will strengthen a candidate's profile for this role.
  • HR & Payroll Systems Knowledge — Familiarity with HR and payroll systems will be an advantage in managing the people-related responsibilities of this position.
  • Communication & Interpersonal Skills — Strong communication, interpersonal, and problem‑solving skills, along with the ability to handle confidential information with professionalism and discretion, are essential.
  • Organisation & Multitasking — The ability to multitask, meet deadlines efficiently, and work independently in a structured and responsible manner is key to managing the diverse scope of this role.
  • Language Proficiency — A good command of both English and Bahasa Malaysia is required, as the role involves liaising with a range of internal and external stakeholders in both languages.
