Job summary

CobaltoTalent is seeking a proactive Executive Assistant to partner directly with our CEO/Founders. You will manage calendars, travel, and communications, using Generative AI to draft replies and summarize threads.

The ideal candidate is bilingual (English native-level) and highly organized, comfortable integrating AI tools to automate routine tasks and deliver results in seconds rather than hours. This 100% remote LATAM role enables flexible scheduling across time zones.

Qualifications

• 2-4 years in an Executive Assistant or similar role supporting C-level executives.
• Near-native English (C1/C2) required; exceptional written and verbal communication.
• Proven daily experience using Generative AI to enhance productivity, draft documents, and automate tasks.
• High technical aptitude with Google Workspace / Microsoft 365, Slack, and Zoom.
• Familiarity with project management tools (Asana, ClickUp, Notion) and modern CRMs.
• Impeccable organization and discretion with confidential information; proactive, tech-first mindset.

Responsibilities

• Provide high-level administrative support including complex calendar management, scheduling, and travel arrangements.
• Act as gatekeeper, managing executive inboxes and using AI tools to draft replies and summarize threads.
• Coordinate meetings and use AI transcription tools to generate minutes, extract actions, and ensure follow-up.
• Conduct rapid online research for projects, using AI to synthesize data into concise summaries.
• Assist with lightweight project management and CRM data entry, ensuring nothing falls through the cracks.
• Anticipate executive needs and deploy digital tools to solve bottlenecks before they impact the team.
