Job summary

CobaltoTalent is seeking a proactive Executive Assistant to partner with the CEO. This role leverages Generative AI to automate tasks, manage complex calendars, travel, and inboxes while maintaining discretion and high organization in a fully remote LATAM setup.

The ideal candidate is bilingual in English (C1/C2) with 2-4 years of C-level support experience and strong tech skills across Google Workspace, Microsoft 365, Slack, Zoom and modern PM tools.

Qualifications

2-4 years of experience as an Executive Assistant, Virtual Assistant, or similar role supporting C-level executives.
Near-native English proficiency (C1/C2) is required with excellent written and spoken skills.
Proven daily use of Generative AI tools (ChatGPT, Copilot) to boost productivity and draft documents.
Strong technical skills with Google Workspace / Microsoft 365, Slack, and Zoom.

Responsibilities

Provide high-level administrative support including calendar management, scheduling, and travel arrangements.
Manage executive inboxes and draft replies using AI tools for context-aware responses.
Coordinate meetings and generate notes with AI transcription tools; extract action items and track follow-up.
Conduct rapid online research and summarize data into concise executive briefs.
Assist with lightweight project management and CRM data entry to prevent bottlenecks.
Anticipate needs and deploy digital tools to streamline workflows for the executive.
