Job summary

Cobalto Talent seeks a highly proactive, AI-powered Executive Assistant to partner with the CEO. The role focuses on strategic calendar management, inbox gatekeeping, and utilizing Generative AI to draft communications and automate tasks.

The ideal candidate is fully bilingual, exceptionally organized, and comfortable using AI tools to expedite workflows and manage administrative heavy lifting in seconds rather than hours.

Qualifications

• 2–4 years of experience as an Executive Assistant, Virtual Assistant, or similar role supporting C-level executives.

Responsibilities

• Provide high-level administrative support including complex calendar management, scheduling, and travel arrangements.
• Act as gatekeeper, manage executive inboxes and draft context-aware replies using AI tools.
• Coordinate meetings and generate meeting minutes with AI transcription tools and extract action items.
• Conduct rapid online research for projects and synthesize data into concise summaries.
• Assist with lightweight project management and CRM data entry; ensure follow-ups.
