Job summary

CobaltoTalent is seeking a highly proactive Executive Assistant to partner with the CEO, leveraging AI to boost output and protect executive time. The role requires superb organization, strict discretion, and expert use of Generative AI tools to draft communications and handle administrative tasks efficiently.

The ideal candidate is fully bilingual (English) and comfortable with Google Workspace, Microsoft 365, and AI-enabled workflows.

Qualifications

• 2–4 years of experience in an Executive Assistant/Virtual Assistant role supporting C-level executives.
• Near-native English proficiency (C1/C2) required.
• Proven experience using Generative AI tools to improve productivity and draft communications.
• Strong technical skills with Google Workspace/Microsoft 365, Slack and Zoom.

Responsibilities

• Provide high-level administrative support, including complex calendar management, scheduling, and travel arrangements.
• Act as gatekeeper, manage inboxes and draft context-aware replies using AI tools.
• Coordinate meetings and use AI transcription tools to generate minutes and extract action items.
• Conduct rapid online research with AI to summarize data for executives.
• Assist with lightweight project management and CRM data entry.
• Anticipate executive needs and leverage digital tools to prevent bottlenecks.
