Job summary

OEC Group seeks an administrative professional in Guadalajara to support freight forwarding operations.

You will maintain shipment records, upload documents, coordinate with brokers, and ensure accuracy of paperwork and compliance with customs rules. The role requires English proficiency and strong MS Office skills, with local office hours from 8:30 am to 2:30 pm.

Qualifications

  • Bachelor’s degree in international business or equivalent experience.
  • About one year of experience in an administrative/clerical role.
  • Knowledge of Microsoft Office including Word and Excel.
  • Knowledge of Mexican Customs Regulations and MX customs law.
  • Analytical mindset.
  • Advanced English level.

Responsibilities

  • Maintain and update shipment files, including numbers, voyage details and dates.
  • Request, review, and upload commercial documentation into FreightStream.
  • Coordinate with Entry Writers and the Brokerage Manager for timely processing.
  • Review documentation for accuracy and compliance, including piece count verification.
  • Investigate and update file records to keep shipment information current.
  • Manage daily tracing reports and follow up on pending items.
  • Perform data entry and maintain organized documentation records.
  • Implement updates to filing systems and processes as directed.

Essential Duties & Responsibilities:
  • Maintain and update shipment files in FreightStream, including file numbers, voyage details, and shipment dates.
  • Request, review, and upload commercial documentation into FreightStream.
  • Coordinate with Entry Writers and the Brokerage Manager as needed to ensure timely processing of entries.
  • Review documentation for accuracy and compliance, including piece count verification and consistency between invoices and packing lists.
  • Investigate and update file records, ensuring all shipment information is complete and current.
  • Manage daily tracing reports and follow up on pending items.
  • Perform data entry and maintain organized documentation records.
  • Implement updates to filing systems and processes as directed.
Work Schedule
  • Guadalajara Office 8:30 am to 2:30 pm
Qualifications
  • You have a bachelor’s degree in international business or equivalent experience.
  • Around one year of experience in an administrative/clerical type role.
  • You possess knowledge of Microsoft Office including Word and Excel.
  • Knowledge of Customs Mexican Regulations and MX customs law.
