Job summary

Teamswell is seeking a meticulous Bookkeeper & Contract Billing Specialist to manage QuickBooks Desktop entries, bank reconciliations, AP/AR, and customer invoicing. You will handle contract invoicing via Work 365, generate quotes in HubSpot, and support Microsoft licensing billing with accuracy.

The role involves sales tax filings across multiple states and CRM upkeep. Ideal candidates have 3+ years of hands-on bookkeeping experience, strong English communication, and a proven ability to learn

Qualifications

• 3+ years of hands-on bookkeeping experience, including full month-end cycles and bank reconciliations.
• Strong QuickBooks skills (Desktop is a big plus)
• Experience with AP, AR, and follow-up collections
• Exposure to U.S. sales tax filings across multiple states
• High attention to detail, especially with high-dollar invoices
• Professional written and spoken English for billing, payments and quotes
• Comfortable learning new systems; training provided for IT/SaaS billing tools
• Track record of staying in roles long-term

Responsibilities

• Bookkeeping (QuickBooks Desktop) including entering bills, deposits, and weekly coding of bank feed transactions
• Reconcile bank accounts and support monthly reviews
• Prepare AP payment runs and process payments
• Follow up on invoices past net 45 and maintain AR tracking
• Enter subcontractor timesheets and monthly partner commissions
• Contract invoicing (Work 365) and high-dollar billing with accuracy
• Create quotes in HubSpot and apply Microsoft contracts to quoting and invoicing
• File monthly/quarterly sales tax returns for several states
• Ramp-up tasks: project claims, CRM maintenance, customer surveys reporting
