Job Summary
The Admin Executive plays a crucial role in maintaining the smooth and efficient operation of the administrative functions within the organization. This position involves a wide range of responsibilities, including office management, coordination of administrative activities, and ensuring adherence to company policies and procedures.
Key Responsibilities
- Office Management: Oversee day‑to‑day office operations, maintain a clean and organized environment, and manage office supplies and equipment.
- Administrative Support: Provide support to departments and executives, handle incoming calls and emails, and direct communications appropriately.
- Documentation & Record‑Keeping: Maintain physical and digital files, ensuring confidentiality and proper handling of sensitive information.
- Meeting Coordination: Schedule meetings, prepare agendas, take minutes, and distribute documentation.
- Travel Arrangements: Organize travel for executives and staff, coordinate logistics, accommodation, and transportation.
- Vendor Liaison: Manage contracts and relationships with vendors and service providers for office supplies and maintenance.
- Compliance & Policy Adherence: Ensure alignment with company policies, assist in developing and implementing administrative policies.
- Event Coordination: Plan company events, workshops, training sessions, managing logistics to ensure smooth execution.
- Budget Tracking: Monitor departmental budgets, identify discrepancies, and report findings to management.
- Desktop Support: Install, configure, and maintain desktop hardware, operating systems, and software, perform routine updates.
Qualifications and Skills
- Bachelor's degree in Business Administration, Management or related field.
- Proven experience as an Administrative Assistant, Admin Executive or similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in MS Office and basic office equipment knowledge.
- Familiarity with office management software and tools.
- Ability to handle confidential information with discretion.
