Job Summary:

We are looking for a proactive and detail-oriented Purchase Executive to manage our procurement activities, vendor relations and purchase documentation. The candidate should have strong knowledge of Tally and GST.

Key Roles & Responsibilities:

A. Purchase Order & Documentation

1. Mandatory Tally Knowledge: Must have complete knowledge of creating Purchase Order, Delivery Challan, Inventory entry and Full Invoice with GST in Tally Prime / ERP.

2. Creation, tracking and follow-up of Purchase Orders as per internal indent / requisition.

3. Preparation of GRN, Purchase Bills entry and matching with PO and invoices.

B. Vendor & Negotiation Management

4. Regular coordination with existing suppliers for timely delivery, quality, price and resolving discrepancies.

5. Identify, evaluate and develop new suppliers by comparing rates, quality and credit terms.

6. Prepare comparative statements (CS) for rates and negotiate best possible prices.

C. Accounts, Inventory & Site Material Records

7. Manage all purchase-related accounts, bills, invoices and maintain 100% proper documentation and filing.

8. All responsibility of record follow-up also for company site materials requirements - Maintain proper record and follow-up for material requirement from sites, dispatch tracking, and ensure delivery challan, invoice and stock entry is recorded in system.

9. Hands-on knowledge of Tally ERP / Prime and GST applicability, HSN codes, tax rates etc.

10. Coordinate with Stores, Accounts and Site/Project team to maintain optimum stock levels and avoid shortages.

D. Reporting

11. Prepare periodic purchase reports, pending orders report and cost-saving reports (related) for the management.

Required Skills & Qualifications:

• Graduate in Commerce / BBA / MBA or relevant field.
• 1-3 Years of experience in Purchase / Procurement.
• Hands-on knowledge of Tally ERP / Tally Prime & GST is mandatory.
• Strong negotiation and communication skills.
• Proficient in MS Excel.
• Good knowledge of vendor management and market sourcing.

Preferred:

Experience from Manufacturing / Trading / Fire Safety industry will be an added advantage.
