Job description

  • Manage day-to-day operations and business reception at the Hong Kong office, including welcoming visitors, coordinating meetings, arranging meeting rooms and providing professional on-site support. Ensure a high standard of hospitality and represent the company in a professional manner.

Executive Support

  • Provide day-to-day administrative and executive support to senior management, including calendar coordination, meeting arrangements, information organization, task follow-up and internal/external communication. Understand priorities quickly and proactively follow through on action items.

Travel Planning & On-the-Go Support

  • Plan and coordinate domestic and international business travel for senior management, including flights, accommodation, transportation, meetings and local itineraries. Accompany senior management on business trips when required and provide real-time coordination and administrative support throughout the trip.

Interpretation & Language Support

  • Provide communication support in English, Mandarin and Cantonese during business meetings, client visits, receptions and business trips. Provide English-Mandarin interpretation, translation and business communication support when required. Assist senior management with English communication and expression as needed.

Office Administration

  • Manage daily administrative matters, including office procurement, supplies and asset management, workplace maintenance, document and filing management, expense coordination and other administrative processes to ensure smooth office operations.
  • Source, evaluate and manage vendors related to office administration, reception and business support. Monitor service quality, delivery standards and costs to ensure efficient and high-quality service.

Ad-hoc Coordination & Support

  • Respond promptly to ad-hoc requests from senior management and the office, coordinate internal and external resources, and ensure important tasks are followed through to completion. Be comfortable working in a dynamic environment where priorities may change.

Requirements

  • Bachelor’s degree or above. Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Business Interpreter, or in corporate hospitality, luxury hospitality, private clubs or other high-standard client-facing environments is preferred.
  • Fluency in English, Mandarin and Cantonese is required. All three languages should be at a professional working level. The candidate should be confident communicating independently in business meetings, client-facing situations and during business travel, and be capable of providing interpretation and language support when required. Experience in English training, teaching or coaching is a plus.
  • Strong professional presence, business etiquette and service mindset, with excellent interpersonal and communication skills. Able to represent the company professionally when interacting with senior executives, clients and business partners.
  • Highly organized, detail-oriented and execution-driven, with strong capabilities in calendar management, itinerary planning, multitasking, problem-solving and handling unexpected situations.
  • Proficient in Microsoft Word, Excel and PowerPoint, with strong documentation and information-management skills. Comfortable using structured tools and processes to improve administrative efficiency.
  • Strong sense of responsibility, discretion and confidentiality, with the ability to handle sensitive executive and business information appropriately.
  • Willing and able to travel domestically and internationally when required, and flexible to support occasional evening, weekend or public holiday arrangements depending on executive schedules, business receptions or company events.

About the Role

The position will be primarily based in our Hong Kong office, supporting daily office operations, business reception and administrative matters. At the same time, the role will provide flexible support to senior management, including calendar and itinerary planning, business coordination, interpretation and occasional business travel.
