This is an administrative support role responsible for managing daily office operations, providing coordination support to business teams, and handling administrative tasks in a fast-paced environment.
Key responsibilities
Manage daily office operations, including office environment maintenance, visitor reception, and courier/mail handling
Procure and manage office supplies and equipment inventory, and coordinate with vendors
Maintain day-to-day liaison with local service providers (property management, cleaning, internet, equipment leasing, etc.)
Provide administrative support to business teams, including meeting coordination, travel arrangements, and expense reimbursement processing
Assist management with calendar scheduling, document preparation, and internal/external communications
Serve as one of the office's liaison points with external parties (e.g., brokers, auditors, legal counsel, etc.)
Assist with new hire onboarding logistics (e.g., workstation setup, access card issuance, etc.)
Support the visa application process for non-local employees, including document preparation, form submission, and follow-up with relevant government authorities
Complete other administrative and support tasks as assigned by management
About you
Must hold a Hong Kong Permanent Identity Card and be legally employable in Hong Kong
Fluent in Mandarin and English (both spoken and written); Cantonese is a plus
Strong business writing skills in both Chinese and English
Bachelor's degree or above, preferably in Administration, Business Management, Secretarial Studies, or related fields
2-5 years of administrative, clerical, or related experience
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Basic data processing and report generation skills
Detail-oriented, well-organized, with a strong sense of responsibility and service mindset
Proactive and capable of handling daily administrative tasks and solving ad-hoc issues independently
Strong communication and coordination skills, with a collaborative team spirit
